Prosper Innovations provides an AI-powered coaching platform designed to help young people aged 16 to 24 build workplace skills such as communication, presentation, confidence and employability skills.

We care about your privacy and personal data, and we aim to clearly and simply explain what information we collect, how we use it, who we share it with, your rights, and how to contact us.

We use your data when you use our app or website, to personalise coaching, to improve the platform, and keep it safe. You stay in control of your data and have rights over your information. We do not sell your data to anyone.

Some features of our service may still be in Beta, which means we are testing and improving them, and we expect to make updates to our privacy information as we launch our app and release new versions.

We also use your data when you contact or interact with us, sign up for updates or take part in research sessions.

Research applicant

When we collect it

When you apply to join a research session, user panel or testing group.

Personal data we use

Name, email address, age, gender (if provided), town/postcode, availability, employment or education status, screening answers, accessibility requirements (if relevant).

Why we use it

To assess suitability, select participants, contact you about sessions, create diverse panels, and organise research activities.

Legal basis

Legitimate interests for recruitment and research planning. Consent where we ask to contact you again in future.

How long we keep it

If not selected: usually up to 6 months after recruitment ends. If selected for future panels: up to 2 years or until consent is withdrawn.

Research participant

When we collect it

When you take part in interviews, workshops, usability testing, surveys or focus groups.

Personal data we use

Name, contact details, opinions, feedback, survey answers, session notes, recordings (where applicable), payment details for incentives.

Why we use it

To run research sessions, understand feedback, improve Prosper, develop features, train staff and administer incentives.

Legal basis

Consent for participation and recordings where applicable. Legitimate interests for research analysis and service improvement.

How long we keep it

Usually up to 6 months after the session. Some finance or attendance records may be kept longer where legally required. Recordings may be deleted or anonymised earlier.

Website visitor

When you browse our website.

Cookie identifiers, device/browser data, IP address, pages viewed, clicks, downloads, session data.

Why we use it

To run the website, keep it secure, understand usage, remember settings and improve content and performance.

App user / Beta tester

When we collect it

When you create an account, sign in, use the app, use coaching tools, test Beta features, or interact with Prosper.

Personal data we use

Account data (name, email, profile image, login ID), onboarding responses, goals, preferences, conversations, messages, AI interactions, voice recordings (if used), transcripts, speaking metrics, scores, feedback, progress data, usage analytics, device/browser data, IP address, error logs.

Why we use it

To provide the Prosper app, personalise coaching, generate feedback, recommend learning content, track progress, improve the service, test Beta features, troubleshoot issues, maintain security and understand product usage.

Legal basis

Contract where needed to provide your account and services. Legitimate interests for analytics, product improvement, Beta testing and security. Consent where required for optional recordings, analytics or optional profile data.

How long we keep it

While your account is active and usually up to 24 months after closure or last meaningful interaction. Some recordings or Beta data may be deleted or anonymised earlier where no longer needed.

General enquiry

When we collect it

When you contact us with a question or request.

Personal data we use

Name, contact details, organisation (if relevant), enquiry details and any information you choose to provide.

Why we use it

To respond to you, provide support and manage follow-up communications.

Legal basis

Legitimate interests or contractual necessity where relevant.

How long we keep it

Usually up to 12 months unless it becomes part of an ongoing relationship.

Business contact

When we collect it

When you interact with us in a professional capacity, are referred to us, or your professional details are lawfully obtained from public or reputable business sources.

Name, job title, organisation, work contact details, records of communications.

Why we use it

To manage business relationships, discuss partnerships, provide information about Prosper, and carry out lawful business-to-business marketing.

How long we keep it

Usually up to 3 years after the last meaningful interaction. If you opt out of marketing, we may keep minimal suppression records to respect your choice.

Job applicant

When we collect it

When you apply for a job directly, through a recruiter, referral or platform such as LinkedIn.

Personal data we use

Name, contact details, CV, employment history, qualifications, references, interview notes and recruitment communications.

Why we use it

To assess suitability, contact you about opportunities, run recruitment processes and make hiring decisions.

Legal basis

Contractual necessity and legitimate interests in recruitment.

How long we keep it

Usually up to 12 months for unsuccessful applicants, unless otherwise explained. Successful applicant data becomes part of employment records.

4. AI and automated features

We use AI-powered tools as part of the platform.

This may include:

  • AI coaching conversations
  • AI-generated scenarios
  • AI-generated feedback
  • speech-to-text transcription
  • analysis of practice sessions
  • personalised recommendations

AI may not always be perfect. It does not replace human coaching, career advisers or professional advice. Importantly, you must keep in mind:

  • some outputs may be inaccurate or incomplete
  • feedback may not always reflect your full ability
  • suggestions may not always be right for you

Please use your own judgment and always seek human advice where needed for important decisions.

Where appropriate, one of our team may review to test, improve or oversee these systems.

5. Voice recordings and speech analysis

Some features allow you to practise speaking or communication skills.

If you use these features, we may process:

  • audio recordings
  • transcripts
  • speaking signals such as pace, pauses and filler words
  • performance scores
  • AI-generated coaching feedback

Where recording or AI processing is optional, we will explain this clearly and ask for consent where required.

Where appropriate, one of our team may monitor or moderate these systems.

6. Who we share your personal data with

We may share your information with trusted service providers (data processors) that help us operate the service.

These include:

  • cloud hosting and secure storage providers
  • software monitoring and support providers
  • AI processing providers

  • communications providers
  • payment/incentive administrators (where relevant)

We aim to use UK-based or UK/EU regional services where possible.

We keep personal data only for as long as we need it for the purpose we collected it for, including to meet legal, tax, accounting, security or regulatory obligations.

Different retention periods apply depending on your relationship with us. In summary:

  • mailing list: up to 12 months or until you unsubscribe
  • research applicant records: usually up to 6 months if not selected
  • research participation records: usually up to 6 months after the session, with some limited admin records kept longer if needed
  • website cookie and analytics data: according to the Cookie Policy.
  • app and Beta data: while your account is active and usually up to 24 months after closure or last meaningful interaction
  • general enquiry records: usually 12 months
  • business contact records: usually up to 3 years after last interaction
  • job applicant records: usually up to 1 year for unsuccessful applicants, unless longer retention is required or explained

We may delete data sooner where possible.

We may also anonymise data so it can no longer identify you and use that anonymised information for analytics, service improvement or research.

9. Security

We use technical and organisational security measures to protect personal data.

These include:

  • keeping your data protected when it’s moving around (encryption in transit) or stored (secure hosting)
  • controlling which team members have access to your data (access controls)
  • verify identity before granting access (authentication controls)
  • keeping records of when data is processed (audit logging)

  • monitoring security (environment and infrastructure monitoring)

We limit staff access to personal data to those who need it for their role. No system is completely risk-free, but we take appropriate measures to protect your data.

10. If you are under 18

Our service is intended for young people and is designed for users aged 16 to 24.

Please do not use our services if you are under 16 years old, and if a feature, programme or research activity is only available to people aged 18 or over, we will say so clearly.

Where users under 18 are allowed to use parts of the service, we will present privacy information in a clear and age-appropriate way and apply extra care to features that involve profiling, AI, voice data or behavioural analysis.

If we become aware that someone under the minimum permitted age has signed up without permission where required, we will suspend or delete the account.

Our website or app may contain links to third-party websites, tools or sign-in services.

If you use a third-party service, that service may collect information about you under its own privacy terms. We recommend reading their privacy information too.
